Seats are the user licenses on your Yousign plan. They control how many people in your Organization can sign in and use the Yousign app. Each active user consumes one Seat. For example, if you want “Tom” and “Emily” to use Yousign, you need two Seats.

How Seats work
Seats = number of active users who can sign in and use Yousign features (send Signature Requests (SRs), use templates, manage contacts).
Only active users consume a license; invited users who haven’t accepted don’t count.
Licenses are the same regardless of role (Owner, Admin, Member).
Important: One account = one person
Each account is personal and must not be shared between multiple people. A “user” means a specific individual who can log in to their account from any device.
Sharing accounts is not allowed, since each account can be used to sign documents and must uniquely identify the signer. Allowing others to use your account could lead to impersonation risks and non-compliant signatures.

Add or remove Seats
Only the account owner can change the number of licenses.
To add Seats (licenses)
Click your initials (bottom-left) to open Settings.
Click Subscription.
Click Manage Licenses.
Click the + to increase the number of licenses.
Click Update Licenses to confirm.
Invite new users from Settings → Users → Invite a user (top-right).
To remove Seats (licenses)
Click your initials → Subscription → Manage Licenses.
Click the - to reduce the number of licenses to the desired total.
Click Update Licenses to confirm.
Important: Removing licenses is owner-only. If you plan to reduce licenses, first make sure the active user count is equal to or below the new seat number. If you reduce your license count below the number of active users, sending will be blocked.
Manage users (invite, suspend)
Invite a user
Click your initials (bottom-left) → Users.
Click Invite a user (top-right).
Add the user's email, choose a role (Member or Administrator), then Send invitation.
Suspend (deactivate) a user — frees a Seat immediately
Click your initials → Users.
Find the user, click the ... to the right of their name.
Click Suspend user, then confirm.
Note: Suspended users’ Signature Requests (SRs) and documents remain accessible to workspace admins and the account owner. You can reactivate a suspended user later if a license is available.
If you don’t have enough Seats
What happens
The app shows clear in‑app warnings and explains the issue.
Some features (most commonly: sending Signature Requests) are blocked until you fix the mismatch. This can interrupt your work; it’s best to try to avoid it.
Quick fixes
Add licenses (owner): Settings → Subscription → Manage Licenses → + → Update Licenses. This restores service immediately.
Suspend non-critical users: Settings → Users → Find user → ... → Suspend user. This frees licenses immediately.
Reassign or cancel pending Signature Requests (SRs) that belong to users you will suspend.
Contact Support if you cannot change licenses or suspend users, provide your Organization name/ID, a screenshot of the error, and a short description of the business impact.
Tips to avoid running out of Seats
Keep a few extra Seats (1–3 or a small percentage of your team).
Monthly check: review active users in Settings → Users.
Assign a Seat manager (one admin in charge of invites/deactivations).
When removing people, reassign or close their pending work beforehand.
Use Single Sign-On (SSO) / SCIM if available to sync provisioning and avoid drift.
Troubleshooting
Confirm your Seats count in Settings → Subscription.
Confirm how many active users are listed in Settings → Users.
Check whether an integration/service account is consuming a license.
If billing changed unexpectedly, review Billing activity or ask your billing contact.
