📖 Table of contents
If you need to have the same document signed by numerous different signers, it is possible with the Bulk Send feature. Each signature request will be automatically generated from a CSV file and sent to each signer individually.
Initiate a Bulk Send
To send signature requests in bulk, you need to use a template containing at least one placeholder signer. This placeholder signer will be automatically replaced by the signers listed in a CSV file.
If you do not have an active template with an placeholder signer yet, create one before starting your bulk send.
You can initiate a bulk send from the Signatures page, Bulk Requests page, or Templates page.
Bulk Send is available on the following plans (and can be used by all account users):
Plus (1 bulk send per month)
Pro (10 bulk sends per month)
Scale (10 bulk sends per month)
Bulk Send is not available on Free and One plans, or during the 14 day free trial period.
Option 1 - From the Signatures pages:
Click on the arrow to the right of the green button at the top right of the page.
Select "Bulk Send."
Option 2 - From the Bulk Requests page:
Click on the green button "Bulk Send requests" at the top right.
Option 3 - From the Templates page:
Choose the template you want to use.
Click on the "..." to the right of the template you want to use.
The option will appear only if your template is active and has at least one placeholder signer.
Select "Bulk send from Template."
Note: You cannot modify the selected template during the preparation of the bulk send. Ensure your template is ready to be used before creating a bulk send with it.
Prepare a Bulk Send
Once your bulk send has started, you can now prepare it:
Choose or modify the template if necessary (or create one and restart the bulk send later) from the search bar.
Your template must be active, include at least one placeholder signer, and have the Simple Electronic Signature level selected for all signers to be used for bulk send. If any of these criteria are not met, you cannot use the template.
If needed, check the name of the bulk send. By default, it is named after the used template. This name is for internal use only and will help you find it in Yousign.
If needed, adjust the name of future requests created with the bulk send. By default, it is named after the used template.
You can add a suffix, a variable at the end of the request name, corresponding to the full name (First Name + Last Name) of the selected placeholder signer.
If you select the "No suffix" option, all signature requests will have the exact same name.
If you belong to multiple workspaces, select the workspace in which you want to create the bulk send.
Click on "Start" at the top right of the page
Note: You cannot modify the selected template during the preparation of the bulk send. Ensure your template is ready to be used before creating a bulk send with it.
Upload the CSV file
At this stage, you need to create a CSV file with information about your different signers:
You can either download the CSV template (Recommended option).
Or, you can create your own CSV file.
Bulk send relies on importing a CSV file. Each line in your file will result in the creation of a distinct signature request.
Create the CSV file with the CSV template (Recommended option):
Click on "Download CSV Template."
To help you prepare your CSV file, a CSV template is automatically created with the expected columns corresponding to the template you are using.
Open it with a spreadsheet editor like Excel or Google Sheets to complete it (outside of Yousign).
Fill in all required information:
First Name (first_name) mandatory
Last Name (last_name) mandatory
Email Address (email_address) mandatory
Language (locale) mandatory. Here are the allowed values:
de (for German)
en (for English)
es (for Spanish)
fr (for French)
it (for Italian)
nl (for Dutch)
pl (for Polish)
Phone Number (phone_number) mandatory only if your signer's authentication method is an SMS code. The phone number format must be in E.164 format:
[+][country code][subscriber number including the regional code]
The number can have a maximum of fifteen digits.
Example: +33 6 02 03 04 05
Tips: On Excel or GoogleSheet, add a single quote before the phone number so that the "+" is not removed. like this : '+33 6 02 03 04 05
The CSV file must contain a maximum of 500 lines (excluding the first line with headers).
Save it in CSV format.
Choose comma or semicolon separators (just make sure to use the same in your file).
Return to Yousign, upload it, or drag it.
Create the CSV file yourself
You can also create your CSV file yourself (without using the proposed template) in a spreadsheet editor like Excel or Google Sheets, following these rules:
The first line of your CSV file must be formatted with column names. Copy the expected column names by clicking on the icon next to each piece of information.
The following columns are expected:
First Name (placeholdername.first_name) mandatory
Last Name (placeholdername.last_name) mandatory
Email Address (placeholdername.email_address) mandatory
Language (placeholdername.locale) mandatory. Here are the allowed values:
de (for German)
en (for English)
es (for Spanish)
fr (for French)
it (for Italian)
nl (for Dutch)
pl (for Polish)
Phone Number (placeholdername.phone_number) mandatory only if your signer's authentication method is an SMS code. The phone number format must be in E.164 format:
[+][country code][subscriber number including the regional code]
The number can have a maximum of fifteen digits.
Example: +33 6 02 03 04 05
The CSV file must contain a maximum of 500 lines (excluding the first line with headers).
The CSV file template must contain all necessary columns for each placeholder signer. For example, if you have two placeholder signers, you must add the above columns for each signer.
Save the spreadsheet in CSV format.
Choose comma or semicolon separators (just make sure to use the same in your file).
Return to Yousign, import it, or drag it.
If your Template contains a read-only text field linked to a placeholder signer
You will be asked to complete them in your CSV file, by adding a column per read-only text field:
It will allow you to complete your document with different information for each signer.
Verify the CSV file
If there are formatting errors, such as a missing column or missing headers, you will need to reload your CSV file.
👉 Read our dedicated article.
After successfully importing your CSV file, you will be prompted to review the imported lines:
In the "Errors" tab (if you have any), you will see the lines where there are errors in the cells. Errors can be a missing value, an unauthorized character, an invalid email address or phone number, or an unsupported locale.
In the "Valid Lines" tab, you will see all lines that have been correctly interpreted.
If your CSV contains errors, you will need to correct these errors in your spreadsheet before re-importing it on Yousign by clicking on "Replace."
👉 Read our dedicated article.
Once your CSV is error-free, you can proceed to the final step before sending the signature requests.
Review the Signature Requests
In this last step, you will see a summary of the signature requests that will be sent in the bulk send.
Please review them carefully, as it will not be possible to pause the send or modify a signature request later.
In case the used template contains:
One or more recurring signers,
One or more approvers,
One or more followers,
Note that they will be notified for each signature request sent, as they are recipients of each individual signature request.
As the sender of this bulk send, you will not be notified of every event on each signature request, unlike the individual sending of a signature request, to avoid an influx of emails.
Click on "Next".
Confirm the send by clicking on "Confirm and send now".
Track Bulk Requests
After creating your Bulk Send, you can access the "Bulk Requests" section under the "Signatures" menu.
On this page, you can:
See the list of all bulk sends,
Modify draft bulk sends (those not yet sent),
Monitor the progress of each signature requests from a bulk send by clicking on ">": you can perform any action on signature requests created from a bulk send.
