Introduction
Multi‑factor Authentication (MFA) adds a second verification step to your Yousign login to better protect your account and your organization’s data. After entering your email and password, you confirm your identity with a time‑based code from an authenticator app. Use MFA when your organization requires stronger access security for all users.
Prerequisites
Availability and activation
MFA is available on all plans
MFA must be activated at the organization level by Yousign. If it’s not active yet, contact us to request activation
Roles and visibility
Once activated for your organization, all users (Owners, Admins, Members) must enroll and use MFA to sign in.
Only Owners and Admins can see who has completed MFA in the All users list. Members cannot view this information.
What you’ll need to enroll
An authenticator app that generates time‑based one‑time passwords (TOTP), such as Google Authenticator, Microsoft Authenticator, BitWarden Authenticator, 1Password, or similar.
A secure place to store your recovery codes (downloaded during enrollment).
Step‑by‑Step Instructions
1) Request activation for your organization (Owner only)
Go to the Yousign Help Center and open Contact us.
Submit a request indicating you want MFA enabled for your organization.
Wait for confirmation from Yousign. All users in your organization receive an email when MFA is activated.
Expected outcome: MFA is enabled for your organization. Each user will be prompted to enroll at their next login or sign‑up.
2) Enroll your account (first time)
You’ll be prompted to set up MFA the next time you log in after activation.
Log out of your account.
Log back in to Yousign with your email and password.
On the MFA setup screen
Open the authenticator app on your phone.
Scan the QR code shown on the screen. If you can’t scan, choose the manual entry option and paste the secret key provided.
In Yousign, enter the 6‑digit code generated by your authenticator app, then confirm.
Download or copy your recovery codes and store them securely. Keep them offline in a safe place.
Expected outcome: MFA enrollment is complete. You’ll be asked for an authenticator code at every login.
3) Sign in with MFA
Enter your email and password as usual.
Open your authenticator app and retrieve the current 6‑digit code.
Enter the code in Yousign and continue.
Expected outcome: You’re signed in to your account.
4) Sign in with a recovery code (if you can’t access your authenticator app)
On the MFA verification step, select the option to use a recovery code.
Enter your recovery codes and continue.
After signing in, keep your remaining recovery codes safe. If you need to enroll a new device, contact Yousign to reset MFA.
Expected outcome: You’re signed in using a one‑time recovery code.
5) For Owners and Admins: Check who has completed MFA
Open your organization’s settings and go to the All users page.
Look for the MFA column to view each user’s enrollment status.
If a user hasn’t enrolled yet, remind them they will be prompted to enroll at next login.
Expected outcome: You can see which users have set up MFA. Members cannot see this column.

What is MFA?

I changed or lost my phone. What should I do?
If you still have your recovery codes, sign in using a recovery code (see above) and then contact Yousign to reset your MFA so you can enroll your new device. If you don’t have recovery codes, contact Yousign for help.
I didn’t save my recovery codes. Can I get them again?
Recovery codes are shown during setup. If you didn’t save them, contact Yousign to reset MFA and enroll again to receive a new set.
I can’t see the MFA column in the users list.
Only Owners and Admins can see MFA status, and only when MFA is activated for the organization.
Does MFA change how I sign documents?
No. MFA protects access to your Yousign account. Signer authentication methods during document signing (e.g., security codes by email or SMS) are separate and configured per signature request.
