Do you need to have your signature requests validated by one or more people? You can easily add approvers to your signature requests, templates and forms by following this guide.

Discover approvers

You can add approvers to your signature request, in order to validate in advance :

  • signers,

  • documents,

  • the various fields (signature, mentions, etc.).

Approvers are available on signature requests, templates and forms for Plus, Pro and Scale subscriptions.

An approver must either approve or reject your signature request, stating the reasons for their decision. Once the signature request has been approved by all approvers, signers will be invited to sign.

Please note: By adding an approval step, signers will not receive an email until the signature request has been approved by the approver(s).

Add approvers

When you create your signature request, you can add up to 10 approvers. To do so :

  • Click on "Add an approver" under the Approvers tab,

  • Add the approver:

    • If they are among your contacts, use the search bar to select them,

    • If they are not among your contacts, click on "Create", fill in their details and click on "Add an approver",

  • If necessary, repeat these actions to add up to 10 approvers per signature request.

An approver can be part of your organization or an external contact.

The same person can both approve a signature request (as an approver) and sign a document (as a signer). This person must be added as both approver and signer.

Please note: Approvers will only be asked to approve the signature request, and will not receive any e-mails informing them of the next steps in the signature request process. If required, you can also add them as a follower to be notified and give them access to the documents once signed.

Manage approvers

You can order, edit, replace or remove approvers from your signature request.

Ordering approvers

You can order two or more approvers:

  • Activate the option "set an approving order".

  • Drag the approvers to order them as required.

Once your signature request has been sent, the first approver will be asked to review it. Once approved, the signature request will be sent to the second approver, and so on.

Edit an approver

To modify an approver's details :

  • Click on the "..." to the right of the name,

  • Click on "edit this approver",

  • Edit the details in the window that opens (surname, first name, e-mail address, phone number and language),

  • Confirm by clicking on "update approver".

Replacing and/or deleting an approver

To replace an approver with another one:

  • Click on the "..." to the right of the name,

  • Click on "Replace this approver",

  • Choose a new approver,

  • Confirm by clicking on "Update approver".

To remove an approver :

  • Click on the "..." to the right of the name,

  • Click on "remove this approver".

You can hide signer’s personal information from approvers in Signature settings.

Track approvers

Once the signature request has been sent, approvers will be invited by e-mail to approve it. The signature request will have the status "To approve".

You can send reminders to approvers:

  • By clicking on "Send reminders" on the details page of your signature request,

  • By sending them their approval link (one per approver).

In the case of an approved signature request

Once the signature request has been validated by all approvers, it will change status to "Awaiting" and will be sent to your signers.

In the case of a rejected signature request

If an approver rejects your signature request, you will receive an e-mail with the reason for the rejection. The signature request will then not be sent to future approvers (if scheduled) or signers.

The signature request will then be set to "rejected" status, and you will be able to access the reason of rejection from the details page of your signature request.
